How an AI project runs at 404MEDIA

1. Initial call (free). Goal, starting point, first ideas. We tell you honestly whether and where AI makes sense for you.
2. Consulting. Workshop, evaluation of use cases, plan with a pilot proposal.
3. Fixed-price pilot. One use case, four to eight weeks, a running system, measurement of the benefit.
4. Decision. With the numbers from the pilot you decide about scaling and operation.
5. Scaling and operation. Further use cases, ongoing support with monitoring of quality and cost, or handover to your team.

Data protection and the EU AI Act

Data protection is not an afterthought for us. It is part of every AI project from the start.

The GDPR applies to every processing of personal data, including by AI. Before every project we clarify which data is affected, whether it needs to go to a model at all and where it may be processed. With cloud providers we sign data processing agreements and exclude training on your data. For sensitive data we run models in Germany or the EU.

The EU AI Act has applied in stages since 2025. Most use cases in small and medium-sized businesses fall into the low-risk category but still bring obligations: labelling of chatbots, documentation, staff training. We classify your case, implement the obligations and document them for you. The final legal review is done by your lawyer or data protection officer. We deliver the basis.

An AI agent is a program that connects a language model with tools: e-mail, calendar, shop system, database. It receives a task, plans steps, executes them and reports the result. Unlike a chatbot, an agent acts instead of only answering.

What does an AI project cost?

A pilot project with one clearly defined use case is the usual entry point. It has a fixed price and delivers a working result against which you can measure the benefit. After that you decide about scaling up.

How long until AI is running in the company?

From consulting to a running pilot usually takes six to twelve weeks. A chatbot for the website is often productive faster, a deep integration into inventory or ERP systems takes longer.

Which AI models does 404MEDIA use?
